Melissa Allen ("we", "us") operates WSJ Attendance Bot, an attendance bot that joins scheduled interview meetings to record candidate attendance. This policy explains what the bot accesses, what it stores, and how it is protected.

What it accesses

While present in a meeting it is scheduled to join, the bot reads only the in-meeting participant list — display names and join/leave times. It does not record audio or video, does not read chat or shared content, and does not access any meeting it was not scheduled to join. The bot joins muted with no camera and is always visible in the participant list as "Attendance Bot."

What it stores

For booked candidates only, the bot stores whether they attended and for how long. It also keeps an internal list of unrecognized participants seen, for human review. No meeting audio, video, chat, or shared content is ever stored.

How it is protected

Credentials are stored securely and access is limited to the attendance service. Only the minimum Zoom capabilities required to join a meeting and read the participant list are used.

How it is shared

Attendance results are written into the recruiting team's own records/CRM. Data is not sold and is not shared with any other third party.

Retention and deletion

Attendance data is retained only as needed for the recruiting team's records.

Your rights

You have the right to access the data we hold about you, to ask us to correct it if it is inaccurate, and to request its deletion. You may also ask how your data is used or object to its processing.
